Workday Innovation PartnerProject Onboarding
Project intake, native to Workday.
Employees submit new project requests through pre-filled, template-driven forms without ever leaving Workday. Every request flows straight into your existing Project Business Process, governed by the security groups you already run.
With a powerful system such as Workday, why are we still using paper to onboard new projects? · PMO Leader
Key Capabilities
Everything a request needs, nothing it doesn't.
Six things Project Onboarding does inside your tenant, with no integrations and no data leaving Workday.
Pre-filled requests
Name, cost center, and date auto-populate from the worker record.
Native BP integration
Submission triggers your existing Project BP; no reconfiguration needed.
Real-time status
Confirmation emails and native reporting keep requesters informed end to end.
Inline policy guidance
Admins attach instructions and policy links directly on the form.
Configurable templates
Admins tailor fields, defaults, and instructions per project type: Capital, Marketing, Internal, and more.
Zero external footprint
Built entirely on Workday Extend. No integrations, no data leaving the tenant.
See It In Workday
Two screens, one governed system.
A hub any employee can open.
Requesters see their own requests and where each one sits, and file a new one from a form that already knows their name, cost center, and request date. They add what only they know: the need-by date, a description, and any supporting documents.
One queue, every request, every template.
The admin grid shows every submitted request across the organization, secured to its own domain. The Template column shows what each request used, Internal, Marketing Campaign, Capital, so an admin sees the whole intake at a glance, regardless of who submitted it or where.
Configurability
Configured to your Workday. Not customized around it.
Project Onboarding adapts to how each organization already runs Workday, in three places, none of which need custom code, a new security model, or a rebuilt approval chain.
01 · Templates
Admins build a template for each project type (Capital, Marketing, Internal, R&D, and more), each with its own fields, defaults, and inline instructions. Change a template and every request using it updates immediately.
02 · Security
Every template and every request is governed by the security groups and role assignments already configured in your tenant. Grant request-only access to people who shouldn't have full Create Project rights.
03 · BP Configuration
Submission triggers whichever Create Project Business Process you already run. Approval chains, escalation paths, and conditional routing carry over exactly as configured today.
Capital project template, selected. Asset class, site or location, permitting status, useful life, and depreciation fields appear only when the Capital template is chosen. Every other template surfaces an entirely different set of fields.
What The Template Controls
- Which fields show. Capital asks for asset class and useful life; Marketing or Internal templates ask for none of that.
- What's required. Each field's required flag is set per template, not hard-coded per form.
- The instructions shown. Policy guidance is authored per template and shown inline.
- The BP it feeds. All templates still resolve to the same governed Create Project BP on submission.

The Core Benefit
Decentralized intake, centralized governance.
Any authorized employee can submit a project request directly from Workday, even without permission to create projects outright. Every request still lands in one governed system: routed through your existing security groups and approval chain, visible in a single administrative view, and reportable alongside your HCM and Finance data.
working days recovered per year at a 500-project baseline
external systems, integrations, or logins required
fewer intake errors from pre-filled, validated fields
Who It's For
Built for the people who own project intake.
PMO Directors, Heads of Operations, and Workday System Owners at professional services, consulting, engineering, and public sector organizations running Workday Projects.
