The people who file project requests know things we do not. Which fields they skip. Which approvals stall. Which project types never fit the form, so the request goes back to email.

We want that knowledge before we lock the next version of Project Onboarding, the Built on Workday app that moves Workday project intake inside your tenant. So we are opening a design partner group, and we are inviting customers who run project intake today to join it.

What a design partner group is

A small group of customers who work with us on design, not on a support queue. We bring designs and prototypes. You tell us where they break against how your finance and project teams work. Then we change them.

It is not a beta program and it is not a sales pipeline. You get a say in what gets built and in what order. We get requirements from people who live with them.

Participation may be limited and subject to approval. Seats go to the customers who have relevant use cases and look to contribute to a shared solution.

Project Onboarding takes a project request from a template-driven form, routes it through your existing Create Project business process, and creates the Workday project on approval. Workday is a SaaS solution, so every feature has to work for many customers, not one. A design partner group is how we find the version that does.

How each session runs

Sessions last 45 minutes, and the agenda is the same each time, so you know what to prepare:

  • Product update. A design or prototype demo of what changed since the last session. You react, and your feedback shapes the next iteration.
  • Deep dive on one topic. We state our understanding of the problem first, so you can correct it. You walk us through your use cases. Then we discuss it together.

Topics on our list include send-back and revise routes on the approval, approver roles limited by cost center, and budget answers captured as fields you can report on. If your intake process has a gap we have missed, bring it.

What we ask of you

  • Take part. Join the design review sessions and speak in them.
  • Respond between sessions. We may post questions, or activities on a group page. This provides progress between sessions and helps us keep the design moving.

One ask on how you give it: be clear about your needs, and think about the wider customer base too. A request that fits only your tenant is hard to ship. A request that fits your tenant and forty others becomes a feature.

Why we are asking now

The current release covers submission, business process routing, status visibility, attachments, comments, policy, and the admin queue. Configurable request templates are the next layer, and templates are where one customer's habits get baked into everyone's product.

Take a capital project request. It needs a funding source, a useful life, and a different approver than a marketing event. Ask three finance teams for the fields and you get three lists. We can guess which list is right, or we can put the three teams in one room and watch where they agree. The second option costs a few hours of your time and saves months of rework on ours.

Who should apply

The best fit is a team that already files project requests and wants them inside Workday. In practice that means:

  • Workday Projects is live, with an active Create Project business process.
  • You run intake for internal projects such as R&D, capital, or marketing initiatives.
  • You manage roughly 50 or more projects a year and have been live on Financials for six months or longer.

If you are close but not exact, ask anyway. The topic of each group decides who fits, and we would rather talk than guess.

Your input and your time are valuable to us, and we plan accordingly: a fixed agenda, a time limit, and changes you can see in the next demo.

After you apply, we will learn how your intake runs today and confirm the fit for the current topic.
